How to Build an Automated Customer Journey

A practical breakdown of the stages in an automated customer journey, from first discovery through to a converted customer.

An automated customer journey is a connected sequence of stages — discovery, visit, enquiry, qualification, follow-up, booking and conversion — where handoffs between stages happen automatically instead of depending on someone noticing and acting manually.

The seven stages

  1. Discover — a prospect becomes aware of the business, through search, referral or advertising.
  2. Visit — they land on the website or landing page.
  3. Enquire — they take an action: a form, a chat message, a call.
  4. Qualify — the enquiry is assessed for fit and readiness.
  5. Follow up — anything not resolved immediately is kept warm automatically.
  6. Book — a qualified prospect schedules a call, consultation or appointment.
  7. Convert — the booked opportunity becomes a paying customer.

Where journeys typically break

Most businesses have some version of every stage, but the handoffs between them are manual, inconsistent, or missing entirely. A lead is qualified in someone's head rather than recorded. Follow-up depends on a person remembering. Booking depends on a phone call being answered. Each manual handoff is a place the journey can silently break.

Building it as a connected system

  • Start with the stage causing the most visible loss — often qualification or follow-up — rather than trying to automate everything at once.
  • Make sure each stage passes structured information to the next, not just a vague notification.
  • Define what should happen automatically versus what should always involve a person.
  • Track where prospects actually drop off, so effort goes to the stage that needs it most.

Why sequencing matters

Automating a later stage — like follow-up — without fixing an earlier one — like qualification — often just automates the wrong thing faster. The most effective approach fixes the journey in the order prospects actually move through it, so each stage can rely on good information from the one before.
